Overview

We are seeking highly motivated individuals with clerical experience for the Clerical Production Specialist role in Bethpage, NY.

The Clerical Production Specialist is an entry level role to the Production Department, this person will be scanning all medical records and customer orders into the system along with assisting with clerical duties. An ideal candidate for this role will be someone who is computer savvy and able to multi-task in a fast pace environment.

The pay for this position is $18.00 - 18.50/hr.

Responsibilities

ESSENTIAL JOB FUNCTIONS

    Launch and track the printing of all new work orders
  • Scan new orders printed and ship to appropriate filed offices
  • Assist with clerical duties such as mail/fax or email when needed
  • Assist in preparation of documentation for scanning
  • Sort and package all deliveries
  • Deliver new work orders to appropriate departments
  • Assist with drilling, recycling and shredding paper
  • Evaluate process for improved efficiency

Print Sort

  • Input all work order numbers to be printed into computer system
  • Release records to print by opening and closing print cues
  • Sort documents as the prints are removed from the printer
  • Verify that each packet is complete
  • Print and insert checks in to each packet as required
  • Assemble and staple all packets as required
  • Pull all Gent's letters (Opposing Counsel) for mailing
  • Identify and stamp all "sensitive" client's orders, and stamp "do not serve early" on work orders when required
  • Assemble all client new orders for scanning
  • Send out order confirmations

X-Ray Technician

  • Review all work orders x-ray films/CD's of x-ray films ensuring that we received all studies requested by client
  • Review and archive CD's of films, duplicate and/or scan films, create CD's of films, as needed
  • Packaging and shipping all CDs, films, and any other items to appropriate field offices or mail
  • Route work order and films/CD of films back to the retrieval or client relations department, if discrepancies are found.
  • Receive and print documents from CD if necessary

File Processing

  • Sort digital files as received
  • Sort files by clients names that require special handling
  • Create CD's for download only clients
  • Convert files as needed
  • Prepare files for digital summary
  • Encrypt specific files, as required
  • Upload required files to secure sites
  • E-fax required files
  • Recreate digital files, as needed
  • Respond to all emails concerning status and movement of orders within the department
  • Enter accurate status of work orders into WinCopy, and or SolCom
  • Redistribute work orders, records, x-ray films, etc., to other departments, as required
  • Route printed documents to the appropriate departments in a timely manner

Qualifications

Educational Requirements

  • High school diploma or equivalent required.
  • A minimum of one year related experience; or equivalent combination of training and experience.
  • Experience in a medical office preferred.

QUALIFICATIONS

  • Must possess complete knowledge of general computer, fax, copier, scanner, and telephone
  • Must be knowledgeable of multiple software programs, including but not limited to Microsoft Word, Outlook, Excel, and the Internet.
  • Demonstrates accuracy and thoroughness. Looks for ways to improve and promote quality and monitors own work to ensure quality is met.
  • Must be able to stay focused and concentrate under normal or heavy distractions.
  • Must be able to work well under pressure and or stressful conditions.
